Royal Navy & Royal Marines Charity Heart of Oak Memory Tree - Terms and Conditions
The Heart of Oak Memory Tree was created to honour and remember members of the Royal Navy community who have died - whether they died in action, during service, as veterans, as family members, or as individuals who supported the Royal Navy through charitable work or other contributions.
Your memory leaf will remain on the Memory Tree as a thank you for your monthly or annual donation - suggested donation of £20 a month for a minimum of 12 months or an annual gift of £240. If you stop your donation your leaf will be removed from the physical and virtual Memory Tree.

Terms and Conditions for Heart of Oak Memory Tree
- These Terms and Conditions apply to Royal Navy & Royal Marines Charity (RNRMC) Heart of Oak Memory Tree. This initiative offers supporters, including RNRMC staff and volunteers, the opportunity to remember a loved one by having their loved one's name (the “Name”) engraved on a metal oak-shaped leaf, which will be attached to the Heart of Oak Memory Tree based in Portsmouth Historic Dockyard. The inclusion of a Name is made in recognition of a donation and is subject to these Terms and Conditions.
- RNRMC reserves the right to void, suspend, cancel or amend the Heart of Oak Memory Tree campaign, and/or update these Terms and Conditions at any time, by posting a notice on the Heart of Oak Memory Tree website www.heartofoak.org.uk
- In the event that your submitted name is not accepted, any monies paid will be treated as a donation. You may request a refund by contacting the Fundraising Team on 02393 871532 or by emailing fundraising@rnrmc.org.uk.
- In the event of any dispute concerning these Terms and Conditions or any other aspect of the Heart of Oak Memory Tree, the decision of RNRMC shall be final and binding.
- These Terms and Conditions are governed by English Law and are subject to the exclusive jurisdiction of the courts of England and Wales.
Submission of Names
- Entries of Names will be accepted by RNRMC all year and will continue until:
- 1200 names are acquired.
- Entries of Names may be submitted by:
- completing the online 'Create a leaf' process at www.heartofoak.org.uk
- over the telephone by calling the RNRMC Fundraising Team on 02393 871532 (9am-4pm Monday-Friday excluding Bank Holidays).
- All donations collected from Supporters in respect of Heart of Oak Memory Tree will go into RNRMC's general funds, to provide vital, ongoing support to those who serve, veterans and their families.
- If RNRMC receives monies or a cheque and cannot determine whether they are intended for participation in the Heart of Oak Memory Tree or as a general donation, the money will be treated as a donation to RNRMC and allocated to the charity's general funds.
- Each Name entry must contain only one person's name, for example 'Jack Jones' or 'Jacqueline Jones'. Names may include titles such as Captain, Dr, or Lady, and post-nominal letters (honours) such as RN, RM, MBE, CBE, or MD. Nicknames or informal versions of names, such as Mick, are also acceptable.
- Supporters are responsible for verifying that the Name and engraving wording is spelled correctly, contains accurate details, and is submitted exactly as they wish it to appear on the leaf on the Heart of Oak Memory Tree. Except as outlined in clauses 12, 13 and 14, the Name will be used on the leaf exactly as submitted, without amendment by RNRMC. If a Name has been submitted incorrectly, please contact fundraising@rnrmc.org.uk as soon as possible. While RNRMC will endeavour to make corrections, we cannot guarantee that any changes will be made after submission.
- All Names submitted must refer to real, identifiable, non-fictional individuals and must not contain any offensive or defamatory content. Names must not be submitted for political, campaigning, or any other purpose that could cause reputational or other harm to RNRMC.
- RNRMC reserves the right to reject any Name without prior notice to the Supporter if it considers the Name to be fictitious, offensive, defamatory, or submitted for political, campaigning, or any other purpose that may cause reputational or other harm to RNRMC.
- RNRMC cannot accept any responsibility for, and reserves the right to refuse, any Name entry that is incomplete, lost, damaged, not properly submitted, or which RNRMC deems inappropriate for any other reason.
- RNRMC shall not be held responsible for any losses suffered by any person arising from a submitted Name not appearing on a leaf, or appearing incorrectly, on the Heart of Oak Memory Tree.
- Entries of a Name and/or donations made to the Heart of Oak Memory Tree campaign are not transferable to any other RNRMC campaign. Likewise, donations made to other RNRMC campaigns (including the other types of In-Memory donations) cannot be transferred to the Heart of Oak Memory Tree campaign.
- To submit a Name for the Heart of Oak Memory Tree campaign, all supporters must provide their full name, postal address and email address. Anonymous submissions will not be accepted. Contact information is necessary to enable the RNRMC to contact supporters if further details are needed to process the submission.
- Supporters will indicate their preferred location for names submitted to the Heart of Oak Memory Tree. While RNRMC will make every effort to honour requests for specific placements, including displaying names / leaves together, it cannot guarantee this. RNRMC reserves the right to adjust the positioning of names / leaves as needed.
- RNRMC retains full discretion over the final design, layout, and content of the Heart of Oak Memory Tree, including the placement of names. The Charity may also use photographs, videos, or replicas of the Memory Tree, including individual names, for promotional, marketing, or social media purposes at its sole discretion.
- The Heart of Oak Memory Tree can include approximately 1200 Names in total. There is no minimum number of names required for the Tree to be deemed complete.
- In exceptional circumstances, RNRMC reserves the right to move or relocate the Memory Tree to another appropriate site.
- Submission of a Name for display on a Leaf does not confer any rights or title in the Heart of Oak Memory Tree to either the person named or the supporter submitting the Name.
- A leaf is added to the Heart of Oak Memory Tree - physical and virtual - as a thank you for a monthly or annual donation - suggested donation of £20 a month for a minimum of 12 months or annual gift of £240. Once the regular donation has been cancelled the leaf will be removed from the physical and virtual Memory Tree.
- RNRMC reserves the right to refuse to add a leaf to the Heart of Oak Memory tree if we deem the supporter has not entered into the spirit of the project which is to create a memorial to commemorate people from the Royal Navy community who have died, and raise vital funds to support that community.
- Submitting a Name will be deemed as acceptance of these Terms and Conditions.
After submitting a Name
- RNRMC will contact each Supporter, using the contact details provided by them, to acknowledge receipt of their submitted Name and to thank them for their donation to Royal Navy & Royal Marines Charity.
- The Heart of Oak Memory Tree is expected to have an operational lifetime of approximately 10 years. While the Tree is intended to remain in place during this time, elements such as the leaves may change, undergo wear and tear or damage. Although efforts will be made to maintain and replace these as needed, the RNRMC does not guarantee replacement or maintenance, nor does it guarantee the Tree's presence for any specific length of time. The Charity has no obligation to contact Supporters in the event that any part of the Memory Tree is repaired, replaced, or removed, or if the Tree's location changes for any reason.
- The appearance of a leaf on the Memory Tree may take up to eight (8) weeks from the date of confirmation. RNRMC reserves the right to amend this timeframe at its sole discretion without prior notice. While every reasonable effort will be made to ensure that the leaf is placed on the Memory Tree within the stated period, no guarantee, warranty, or assurance is given or implied that such placement will occur within eight (8) weeks.
